The Situation
South Beach Aperitivo was created during COVID by two founders, curious as to why the Aperitivo drinks category, synonymous with coastal living in Europe, didn't exist in Western Australia. Fast forward 5 years, and Western Australia's first Aperitivo had grown, but its systems, processes and reporting were no longer fit for purpose
The Opportunity
Metric was engaged to systemise accounts payable, accounts receivable and expense claims as well as month end process, management reporting and excise tax lodgement
The Solution
✓ Systemise AP and AR
- Set up Dext and Paidnice plug-ins to automate invoice data extraction and chase up aged payables
✓ Set up self service, dynamic management reporting across laptop, tablet and phone devices
- Wholesaler distribution model was creating disconnect between Xero sales ("sell in") and wholesaler data ("sell out")
- Utilising airtable and Xero / google sheets integration software, created a semi-automated, consolidated dataset with an interface that captured rate of sale, price and SKU at an account level
✓ Created variance reporting versus budget
- Metric supported in the budget build for FY26 and in the customisation of reporting to capture not just financial variances but operational variances to budget (i.e. # of accounts, ave order size, ave $ / SKU)
- This has enabled constructive and actionable monthly review meetings by identifying underlying variance drivers, not just the variance itself
✓ Automated Excise tax lodgement
- Utilising the same airtable dataset used for management reporting, was able to automate monthly calculation of litres of alcohol sold
- This materially reduced the time required to complete excise tax lodgement at month end
